Lodi District Chamber of Commerce Event Manager Job Opening

Overview

The Lodi District Chamber of Commerce is looking for an Event Manager for its community and membership events. The Event Manager will be responsible for overseeing the variety of events including our bi-annual Street Faire and seasonal weekly Farmer’s Market which attract tens of thousands of visitors from all over the region. We are looking for someone with exceptional time-management and organizational skills that can work on multiple events simultaneously. You will also need excellent customer service skills, as you will be dealing with vendors and partners across a wide range of backgrounds and industries.

The Lodi District Chamber of Commerce is celebrating its 100th year and is over 800 members strong. This position provides an excellent opportunity to build on established, successful events that promote and celebrate the Lodi community and the Chamber of Commerce members. Duties

  • Manages all aspects of events including conceptualizing, designing, preplanning, and fully executing (logistics, venue selection, qualifying vendors, etc.).

  • Leads event committees to tenaciously exceed expectations throughout event conceptualizing, planning, and execution

  • Distributes relative event materials such as, but not limited to, applications, vendor packets, floor plans, schedules, processes, and event flow to appropriate internal and externals parties with enough time to allow for evaluation and feedback prior to event.

  • Develops and maintains schedules including set-up, event schedule, and tear down.

  • Secures proper permitting and ensures compliance with City of Lodi, Alcoholic Beverage Control, County Health Board, and other agencies as required by event

  • Coordinate vendors, handle vendor and attendee queries, troubleshoot on the day of event and oversee the dismantling and removal of the event to clear the venue efficiently.

  • Vendor recruitment and selection, including curation of vendors based on quality and type of product and service offered

  • Maintain database of vendors, including their contact information, and any licenses or permits each vendor possesses based on the products they are selling.

  • Manage and update time sensitive information posted on event websites, social channels, ticket software, event software and printed collateral.

  • Communicate Farmer’s Market and Street Faire policies, activities, and rules to vendors.

  • Contribute time with other staff to seek sponsorships.

  • Creation of sponsorship signage to be displayed during the events.

  • Develops, manages, and reconciles event budgets. Assists with annual departmental budget development.

  • Develops and manages event-related contracts and invoices.

  • Responsible for event metrics such as attendance, consumption patterns, etc.

  • Solicit entertainment for Farmer’s Market and Street Faire, as well as sponsors for the entertainment.

  • Recommend, develop and implement new promotional ideas to increase community event attendance

  • Create marketing calendar and coordinate the release of marketing materials by partnering with the marketing consultant to promote ticket sales, vendor sign ups and event attendance.

  • Evaluates all aspects of events with the goal of improving quality as well as cost and time efficiencies.

  • Conduct period surveys to assess customer opinions and satisfaction

  • Ability for flexible work schedule to work nights and weekends as needed for a specific event

  • Other related duties as required

Needed Skills

  • 3-5 years of event experience, including private events of 300+ and/or community events of 1,000+

  • Excellent written and verbal communication skills

  • Ability to handle multiple projects simultaneously

  • Creative problem-solving

  • Organizational & time-management skills

  • Strong proficiency in Microsoft Office Applications; experience with event management software preferred

  • Effective in providing exceptional customer service

  • Ability to maximize resources and establish key relationships

  • Budget Management

Compensation, Hours, & Other

  • Position is full time (40 hours a week) & in-person

  • Hours will vary based on event days and times
