Executive Director

Job Type: Contract

Pay: $44,000.00 - $47,000.00 per year

Schedule: Work your own schedule, however present at CalFest functions.

Location requirements: Must reside in California or Nevada

The Executive Director of California/Nevada Festivals and Event Association (CalFest) is a part-time, contracted position. The Executive Director reports to the CalFest BOD and has overall responsibility of managing the CalFest activities as well as local execution of the organization’s strategic plan. Duties include, but are not limited to the following:

  • Management of the day-to-day affairs of CalFest, including handling regular and timely communications with members, prospective members, representatives of related or affiliated organizations, other stakeholders and board members; maintaining all business records of the organization; and obtaining or filing all necessary permits, licenses, insurance, local, state and federal tax returns, and other business documents necessary to the work of the organization.

  • Recruitment of membership, provide membership marketing and services including, maintaining a computerized membership database, marketing of member services, and member communications which includes but not limited to providing materials for online newsletters, and through social media platforms.

    • Social Media content creation; create continuous content to keep CalFest relevant and represent CalFest as a source of information on Events throughout the year.

  • Financial management of the organization including preparation of the annual budget, billing and bookkeeping, and financial reporting to the Board of Directors.

  • All planning and implementation for the organization’s annual conference, including site selection, negotiation, and interface with hotel staff; room assignments; program planning, scheduling and preparation; publicity; registration, sponsorship sales; on-site management; and post-convention follow up.

  • All planning and implementation needed for additional workshops, seminars (in person or online) or Behind the Scenes tours including all facets described above relating to the annual conference.

  • Develop and solicit new funding sources including sponsors, and other sources of revenue to meet the needs of the organization and to expand the scale and scope of services provided by the organization.

  • Association management services including preparation and distribution of materials, finance and other reports, minutes, and other materials necessary for up to twelve (12) scheduled CalFest Board Meeting Conference calls, for up to two (2) in-person scheduled CalFest Board Meetings which includes one (1) annual CalFest Board Meeting retreat and oversight of volunteer committees which may be carrying out association business.

  • Represent the organization at public activities and events or coordinate with other CalFest members to represent the organization.

  • Liaison with other related organizations as deemed necessary and/or appropriate by Contractor and/or the Board of Directors. In addition, Contractor, as a representative of CalFest, participate at other related organizations conventions, seminars, functions and/or meetings as appropriate and financially feasible and within budget guidelines as established by the Board of Directors. Upon completion of said participation, Contractor will provide the Board of Directors with a recap of information collected as well as provide any feedback gained through participation with the other related organization.
